We are seeking a highly organized and proactive Executive Assistant to support the leadership team of our family-owned and operated property management company. Provide high-level administrative support to the Vice President overseeing contracts, interior design, the Dallas market, construction, and additional company initiatives
Coordinate and manage travel arrangements for all executives, including flights, accommodations, and itineraries
Handle phone coverage, correspondence, filing, and data entry with accuracy and confidentiality
Communicate and negotiate with vendors as needed to support executive operations
Collaborate with the owner’s personal secretaries to ensure smooth day-to-day operations within the executive office
Assist with special projects and other administrative tasks as assigned
Minimum of 3 years of experience in an administrative support or office assistant role (required)
Minimum of 3 years of experience in property management (preferred)
Experience drafting legal documents (preferred)
Strong employment history with a record of long-term tenure in previous roles
High school diploma or equivalent (required); associate’s or bachelor’s degree (preferred)
Exceptional attention to detail, particularly in typing and proofreading written materials
Excellent organizational skills with the ability to manage multiple priorities and meet deadlines
Professional communication skills, both written and verbal, with a clear and confident phone presence
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
